Online Contingent Crew Application

Patriots’ Path Council has reserved 20 Philmont crews for the summer of 2021, with an estimated cost of $2,400 per person. Each crew must consist of 12 Scouts and Scouters, with a minimum of 3 adults and 9 youths and a maximum of 4 adults and 8 youths. A unit may submit more than one application, but priority will be given to every unit’s first application before any unit’s second application is considered.

Patriots’ Path Council units, and out of council units that actively participate in the Watchu program, interested in participating as a group should complete and submit the Crew Application using this form no later than Jan. 24, 2020. The Watchu crew selection process will take place on Wednesday, Jan. 29, 2020, at 7 p.m. in the council service center, 1 Saddle Road, Cedar Knolls.

 

The application will be considered on time and eligible for the crew selection process if all of the following criteria are met:

  • Received by Jan. 24, 2020. Application must be submitted here. 
  • Application must include at least 8 members, with the numbers of youth and adults age 21 and over as specified on the application. Crews with less than 12 members must recruit additional crew members and be willing to accept individuals assigned by Patriots’ Path Council as needed to create a full crew of 12.
  • Units must rank their preference for travel dates.
  • Watchu Sabattis Adirondack Trek crews must complete and submit the Philmont application about the same time the Watchu Sabattis Adirondack Trek application is submitted. Up to 8 crews will be reserved for 2020 Watchu Sabattis Adirondack Trek crews.

 

On Jan. 29, 2020, at the Watchu crew selection process:

  • All on-time applications will be included in the process of being assigned available crew slots. District provisional crews will be given first choice of travel dates. All other applications will then be assigned their highest ranked preferred travel date that is available until all slots have been assigned.
  • Crew applications received after Jan. 24, 2020, and out of council crews that are not certified as active Watchu participants, will not participate in the process, but will be placed at the end of the waiting list in the order applications are submitted.
  • A representative of the crew is encouraged, though not required, to attend the drawing.
  • If the number of crews expressing interest is greater than the number of available slots, the drawing will continue to develop a waiting list.
  • Crews awarded a slot in a Patriots’ Path Council Philmont contingent must register online and submit a $400 deposit ($100 is non-refundable) for each crew member by Tuesday, Feb. 11, 2020. Failure to do so will result in the loss of the assigned slot, which will immediately be offered to the next crew on the waiting list.
  • Patriots’ Path Council reserves the right to remove individuals or crews from the contingents for failure to make payments per the specified schedule.

 

There will be a supplemental fee charged to each member of a crew that has less than 12 members.  The fee will equal $50 multiplied by the number of crew members under the required 12.  (Example: each crew member’s fee would be $100 higher for a crew with only 10 members).  All program fees may be paid by check or credit card, but a 3% fee will be added on to all credit card payments to cover the out of pocket cost to the council.

If the number of crews is fewer than 20 on May 1, 2020, Patriots’ Path Council reserves the right to cancel one or more contingents, and/or to reassign crews from canceled contingents to open slots in the remaining contingents.  Deposits will be returned to any crew whose contingent is canceled by the council, and that crew will be given priority choice in the 2022 contingents.

Crews that are smaller than 12 must recruit additional members, and be willing to accept individuals assigned by Patriots’ Path Council to the crew, as needed, to fill it.

Out of council units may be certified as active participants in the Watchu Program only by the Patriots’ Path Council High Adventure Committee, and this is reserved for units who have adult leaders that serve as Watchu staff and actively support the program.
